I need most enrolment, emergency and care information to look after your child safely, meet my legal duties and provide our agreed childcare. If it is not provided, I may not be able to offer care. I will make it clear when something is optional. Information normally comes from you and your child, but may also come from health, education, council or safeguarding professionals.
Where information is kept
All childcare records are stored in ChildLogs, which acts as my data processor. It provides a secure parent portal where families can view the information made available for their own child. ChildLogs may use hosting, database, file storage, email, notification and payment providers to run its service. You can read its privacy information here.
The Little Ducklings showcase website does not have its own parent login. Messages sent through its contact form are delivered to business email. Doorbell audio and video stay on the micro SD card inside the doorbell and are not stored in the cloud.
Who I may share information with
I share only what is needed and only when there is a good reason. This may include parents and authorised carers, other schools or settings, health and emergency services, Stoke-on-Trent City Council, Integrated Front Door and safeguarding partners, the LADO, police, Ofsted, HMRC, insurers and professional advisers.
Some ChildLogs suppliers may process information outside the UK. ChildLogs says that it uses an approved safeguard where a transfer is not covered by UK adequacy rules. More detail is available in its data-processing terms.
Your rights
You may ask to see or correct your information, limit how it is used, object, ask for deletion, or ask for a portable copy where this applies. You can also withdraw consent where consent is the reason for using it. These rights sometimes have limits—for example, where I must keep a safeguarding record or protect another person's privacy. No computer system makes important decisions about a child without human judgement.
Please contact me first if you have a request or concern. I may need to check your identity and will reply within the legal time limit. If you are still unhappy, you can contact the Information Commissioner's Office. Childcare concerns can be raised with Ofsted, and worries about a child's safety should go to Integrated Front Door.
